Astellas Pharma US, Inc. contracted BEM Ireland to design and implement a 5 star incentive programme for 220 executives and top sales performers from Astellas Pharma US, Canada and Brazil. The programme was named The Summit. This was a split programme with 4 nights in Killarney and 3 nights in Dublin (14th – 21st September). This programme highlights our ability to deliver a creative and complex adventure based programmes which included numerous tour excursions each day.
Social Events included: Welcome Barbeque with Entertainment, Irish Themed Night in The Europe Hotel Killarney with Electric Celi, Pub Crawl and quiz, Executive Dinners, Dine Around, Awards Ceremony at The Four Seasons featuring Anuna and Trad on The Prom, Farewell Night in The Guinness Storehouse featuring Rattle and Hum.
Day Tours Included: 6 am Sunrise Hikes (separate Easy and moderate levels), Dingle Peninsula Tour, Spa Packages, Golfing, fishing, Spa Day at the K Club including a hawk walk and Art Tour, Jaunting Car, Hiking & Biking through the Gap of Dunloe, Kilkenney Tour, Newgrange, Caste Tours, Whiskey Trail with tasting and more. Over 43 options were offered through an online registration system and digital platform to promote the Summit club Experience for 2013. BEM Ireland were Responsible for design, registration, implementation and logistics of all activities and tours including budget generation and on site management.
BEM Ireland were responsible for the following:
• Identification of target market to ensure quality of programme (For this programme the guests were young vibrant Sales force, the programme was established to reflect this).
• Developed a digital platform, including a website to promote the Summit in 2013, promote Ireland and the experiences it can deliver alongside creating an online relationship with delegates for a yearlong engagement with them promoting Ireland.
• Delivered a First Class Adventure Tourism Experiences in Ireland.
• Captured flights details and organised multiple, simultaneous and individual ground transportation to/from airports (Dublin airport/Shannon Airport/Cork Airport) and hotels/venue.
• Managed online registration allowing guests to choose from tours/adventure options – And managed the many on the morning changing of minds from the delegates!
• Managed all guest accommodation.
• Manage the design and print of brochures, menus, signage, luggage tags, badges and lanyards.
• Coordinate and manage social functions.
• Coordinate Up to 14 daily Shuttle services from Hotels to Town/City Centre.
• Coordinate multiple transportation and guides around social events and for daily tours and daily adventures.
• Managed the seamless transition of over 600 pieces of luggage from the Europe hotel & Resort Killarney to The Four Seasons Hotel Dublin the night before guest transfer. This included tagging and ensuring luggage were placed in rooms before arrival.
• Creative selection and coordination of customised gifts for each guest each night delivered through hotel room drops, gifts included handcrafted Irish willow baskets (Meath based), Irish Ogham pendants and cuff links by Brian de Staic (Dingle & Killarney based), Muckross House Rugs, Irish Landscape photo of Ireland by Peter Cox Photography (Killarney based) – BEM Ireland paid particular attention to providing opportunities for Irish Crafts people.
• Management of information desk and hospitality Suite.
• Coordinate transfer of all 220 people from Killarney to Dublin by coaches to train station – private train and back onto coaches to their Dublin Hotel.
The Team worked to coordinate stand out social programmes that create memorial experiences; Evening Events showcased Irish Food and Authentic Cultural Experiences
• Welcome Barbeque with Entertainment and Pop-up Aran Sweater Market.
• Irish Themed Dinner with Electric Celi.
• Gala Awards Recognition dinner, featuring Anúna and Trad on the Prom.
• Executive Dinner with guests dine arounds.
• Pub Crawl with team quizzes and games in each pub.
• Final night at the Guinness Storehouse with Rattle and Hum.

As Astellas Pharma had been in very opulent venues for their precious Summit Club Programmes, we creatively sold the Gala dinner as an exciting evening of Irish food, culture and entertainment. We received a huge response from all guests on the night and surpassed the client’s expectations.
Congratulations on this very well-deserved recognition and please let me add that I too think that you are the ‘best events team’ for sure.

Our incentive program to Killarney and Dublin was so very memorable and different and a trip that our winners still talk about. So many of them came up to me at our national sales meeting this year to reminisce about their experience in Ireland and how it was a trip that they will remember for the rest of their lives. We could not have made that happen without you. From the very beginning you helped us develop a program that was well balanced, fun, relaxing, exciting and different. From the beautiful Hotel Europe in Killarney to the sunning Four Seasons in Dublin, two very different worlds for sure, it was a unique program. And when the weather threw us a curve ball our last day in Killarney, you created our back-up plan and threw together a wonderful whiskey tasting experience that was spot on and just what the group needed to lift their spirits after the little downpour 

From the gifts, to the luggage pull, to the train ride, to the final night entertainment, everything you helped us managed was amazing. And let’s talk about that final night entertainment – what a show, simply one of the best awards dinners we have ever had for our Summit Club program – I don’t know how we will ever be able to top that!

So, I know that Jamie and I receive all of the accolades from our leadership team throughout the week, but I want you to know that we would not have been a success without you right there beside us, providing that guidance and support and sharing your knowledge about your wonderful country. So, a very belated and heartfelt thank you, to you and your great team for an amazing Astellas Summit Club experience in 2013!
